How to Store Books, Documents and Paperwork Safely

The safest way to store books, documents and paperwork in the UAE is to keep them dry, cool and off the floor in small lidded boxes, with every irreplaceable original listed and scanned before it goes anywhere. For a large collection or a long absence, document storage in Dubai works best in a space where temperature and humidity stay steady, which is why many households move their archives into a storage unit for belongings that have outgrown the home rather than a hot store cupboard.

Paper is slow to show damage. A carton can look perfect from the outside while the pages inside have swollen, stuck together or started to spot. The steps below are the ones that prevent that, in the order you would actually do them.

Start by Sorting Papers by How Hard They Are to Replace

Sorting by replaceability tells you how much protection each pile needs. It takes one evening.

Irreplaceable originals are attested certificates, birth and marriage certificates, property deeds from home, signed wills and family letters. Hard to replace covers old tax and employment records, academic transcripts and files you may need for a future visa or pension claim. Replaceable means anything your bank, employer or a government portal can reissue in a few clicks. Disposable is the rest: expired warranties, duplicate payslips and receipts for things you no longer own.

Shred the disposable pile before you buy a single box. In most homes it is the biggest pile.

Which Documents Should Stay With You, Not in Storage?

Anything you might need at short notice stays at home or with you. A storage unit is for papers you consult a few times a year at most.

That means your passport, Emirates ID, driving licence, current tenancy contract and Ejari certificate, car registration card and the latest bank and utility statements live in a small fire-resistant document box at home. Visa renewals, school admissions and bank requests have a habit of landing in the same week, and nobody wants to drive across town in August traffic to find a salary certificate.

The test is simple: if losing access to a paper for a weekend would cause a problem, it does not go into storage.

What Do UAE Heat and Humidity Do to Paper and Books?

Heat speeds up yellowing and brittleness, and humidity makes paper swell, cockle and grow mould. The UAE delivers both, often on the same day.

Coastal Dubai and Sharjah can feel dry at noon and close to saturated before dawn. Paper takes in moisture overnight and releases it by day, and each cycle loosens bindings and warps covers. Glossy pages and photographs suffer most, because in a damp box they fuse into a block that cannot be separated without tearing. Thermal paper, the shiny receipts from shops and fuel stations, can fade to blank in a hot cupboard, so photograph any receipt you need for a warranty claim.

Silverfish and booklice are another warning sign. Finding them means the space is too humid. For a broader look at which belongings react this way, see whether cooled storage pays off for personal items.

Why Attested Originals Need the Most Care

Attested certificates are the papers UAE residents find hardest to replace, because the attestation chain usually starts in the country that issued them.

A degree or marriage certificate used for a visa, a job or family sponsorship typically needs approval from the issuing country, then the UAE embassy there, and then the Ministry of Foreign Affairs here. As Gulf News sets out in its guide to attesting foreign certificates, the original document itself goes to the ministry for attestation, so a ruined original can mean restarting the whole process abroad.

Keep these flat in a rigid acid-free folder, never folded, stapled or hole-punched. Store colour scans in two separate places, such as a cloud folder and an encrypted drive, so a copy can be printed the same day if someone asks for one.

How Should You Pack Books for Storage?

Pack books flat or spine down in small, strong cartons, filled so nothing shifts but not so tight that covers bend.

Use small cartons. A large box of books is too heavy to lift safely and its base tends to sag. Lay books flat or stand them spine down, never resting on the page edges, which pulls the text block away from the binding. Fill gaps with plain packing paper rather than newspaper, as the ink transfers in humid air. Wrap valuable editions individually in acid-free tissue or a clean cotton cloth.

Avoid sealing books in airtight plastic bags if they are going into an uncooled space, since any moisture already in the paper is trapped with nowhere to go. Lidded plastic crates are fine in a dry, cooled unit. In a humid villa store, breathable cardboard with silica gel is the safer choice.

Packing Files, Certificates and Photos

Files and photos need flat, rigid and clearly labelled protection more than they need volume.

Remove metal clips and rubber bands before long storage. Clips rust in humid air and leave brown stains, and rubber bands perish and stick to paper. Use lidded archive boxes that keep files upright and stop dust settling on the edges. Interleave photos with acid-free paper or move them into archival sleeves, and keep them in their own box. Write the contents on two sides of every box, along with a number that matches your index.

Add a few silica gel sachets to each box and replace them when you visit. Indicating sachets change colour as they absorb moisture, which tells you at a glance how damp a box has been.

When Does Document Storage in Dubai Make Sense?

A shelf of everyday books in an air-conditioned room is fine at home. Storage outside the home becomes the better option when the collection is large, the home has no cool spare space, or you will be away for months.

Villa store rooms and garages get very hot in summer, and cupboards beside a kitchen or water heater run warm and damp. A flat with the AC switched off during a long summer trip turns humid within days. For a few dozen cartons of files and books, a compact unit sized for a stack of archive boxes is usually enough.

For anything in your irreplaceable pile, choose a unit where humidity is held steady through the year, and ask the facility how it monitors conditions.

Scan, Label and Keep an Index

An index turns a pile of boxes into an archive you can use.

Scan or photograph every irreplaceable and hard-to-replace document before it is packed. A phone scanning app is enough for most papers, while a flatbed scanner is worth borrowing for photos and anything you may need to print at full quality.

Then keep a simple spreadsheet listing box number, contents, category from your sort and where the box sits. Put the boxes you are likely to need near the front, the same logic as loading a unit so the boxes you need stay within reach. Heavy book cartons go at the bottom and lighter file boxes on top, on pallets or shelving rather than the bare floor.

Checking on Stored Papers Through the Year

Stored paper needs a short check every few months, and the most useful ones fall just before and just after summer.

Open two or three boxes at random. Check for mustiness, curled covers, spotted pages or insects, and swap tired silica gel. If anything feels damp, dry it flat in an air-conditioned room, never in direct sun, and move that box higher or into a drier spot.

If you are relocating out of the UAE for a year or more, name someone you trust who can visit the unit, and give them your index so they can find a certificate and scan it for you on request.

Paper lasts for generations when it is dry, flat and left alone in steady conditions. If you would like help working out how much space your books and files need, the team at StorageKeys can talk it through and suggest a unit size that fits.

Frequently Asked Questions

What is the best way to store important documents at home in the UAE?

Keep them in a fire-resistant document box in an air-conditioned room, away from kitchens, water heaters and outside walls, with scanned copies saved in two places.

Can books be kept in a storage unit?

Yes. Pack them flat or spine down in small boxes, raise them off the floor, and choose a climate-controlled unit for older or valuable books.

Should I store documents in plastic bags?

Not in an uncooled space. Sealed plastic traps moisture already in the paper. Use acid-free folders and lidded archive boxes with silica gel instead.

How long can paper documents stay in storage?

Many years, if conditions stay cool, dry and stable. Check a few boxes every few months and refresh the silica gel before and after summer.
