Storage fits into an office relocation in Dubai at three points: before the move, to clear surplus furniture and files so the packing crew only handles what goes to the new space; during the gap, when the new office fit-out runs late and the old lease ends on a fixed date; and afterwards, for archives and spare kit the new layout has no room for. Plan those three points around your lease dates and the move becomes a scheduling job rather than a scramble. Many firms set this up with storage that holds company kit and records off the office floor.
Below is a typical Dubai or Sharjah office move, from notice letter to handover, with the storage decisions at each stage.
Where Does Storage Fit in an Office Relocation in Dubai?
Storage is the buffer between two fixed dates: the day your old lease ends and the day the new office is ready. Those dates rarely line up.
Before the move. Clearing old desks, spare chairs and archive boxes early shrinks the move. Fewer items mean a shorter move window and fewer lift bookings.
During the gap. If the fit-out overruns by two weeks, your furniture needs somewhere to wait that is not the corridor of a building you have already handed back.
After the move. New offices are often smaller and more open plan. The filing cabinets and meeting room tables that fitted the old floor may have no home in the new one.
Start With the Lease Dates, Not the Moving Day
Work backwards from the date you must hand back the old office. Most commercial leases ask for written notice well before expiry, often 60 to 90 days, so check yours before you sign anything new.
Aim for an overlap. Two to four weeks where you hold both premises costs extra rent but gives you time for fit-out snags, IT testing and reinstatement of the old space.
Reinstatement takes time. Many Dubai leases require you to return the unit to its original condition. Partitions, carpet and cabling may need removing after the furniture has gone.
Paperwork follows the move. Allow time to register the new tenancy, cancel the old one and update the address on your trade licence with the Department of Economy and Tourism or your free zone, as each authority sets its own steps. You can read how the Dubai Land Department handles Ejari registration before your signing date.
Sort Everything Into Four Piles Before Packing
Walk the office with a floor plan of the new space and give every large item one of four labels: move, store, sell or donate, dispose.
Move. Only what has a marked place on the new plan. If nobody can say where a cabinet will stand, it does not go on the first truck.
Store. Spare workstations for planned hires, boardroom furniture waiting on a decision, event stands and seasonal displays. Firms often send these straight to a unit set aside for desks, chairs and filing cabinets between offices, so they never reach the new reception.
Sell or donate. Office furniture dealers in Al Quoz and Sharjah's industrial areas buy used stock in reasonable condition.
Dispose. Old monitors, printers and cables are e-waste. Use a certified recycler and wipe or destroy hard drives first.
What Happens When the New Office Is Not Ready?
You store what cannot go in yet and move in phases. Fit-out delays are common, and the old landlord will not extend a handover date because your contractor is late.
Why delays happen. Fit-out works need landlord sign-off and approvals from the relevant authority, such as Dubai Municipality, Trakhees or the free zone, and inspections can push the finish date back.
Phase the move. Set up IT, a few desks and the meeting room first so the team can work. Bring the rest across once the snag list is closed.
Keep the waiting items together. Book a few weeks of room for furniture waiting on the fit-out rather than spreading it across staff homes and a friend's warehouse. One location makes the final delivery a single trip.
Moving Archive Boxes Without Losing Track of Them
Archive boxes are where office moves go wrong quietly. They are heavy, they look identical, and nobody notices one is missing until an auditor asks for it.
Number before you move. Give every box a number and list its contents and financial year on a shared sheet. Tick boxes off as they leave the old office and as they arrive.
Decide what leaves the building for good. Most years of records do not need to sit in the new office. Knowing which company records must be kept, and for how many years tells you which boxes go to the new filing room and which go straight to archive storage.
Shred before, not after. Anything already past its retention date should be destroyed at the old office, not paid to be moved twice.

Building Rules: Move Permits, Service Lifts and Time Slots
Most Dubai towers will not let a moving truck near the loading bay without permission from building management. Sort this two weeks ahead.
Permits at both ends. The old building usually wants a move-out permit and proof that rent and service charges are settled. The new one wants a move-in permit, contractor details and sometimes a refundable deposit.
Service lift bookings. Lifts are often limited to evenings or weekends in busy business towers in Business Bay, JLT and Al Barsha. A large office can need several slots, which is another reason to clear storage items early.
Use a crew that handles offices. Desks, server racks and safes need dismantling, labelling and protecting. Packing crews and vans that take an office apart and rebuild it save your staff a weekend of heavy lifting.
Protecting IT Kit and Furniture in the UAE Heat
From May to October, the risk on moving day is heat, not handling. A loaded truck parked in the sun can get far hotter inside than the air outside.
Move electronics last and unload them first. Laptops, screens and network gear should spend as little time in the truck as possible. Back up servers before shutdown.
Wrap, do not seal. Plastic wrap on upholstered chairs traps moisture when the truck doors open into humid air. Use moving blankets and breathable covers.
Store in cooled space. Veneered desks, leather chairs and spare monitors waiting for weeks should sit somewhere air-conditioned, not in a warehouse mezzanine.
Pack the unit for retrieval. Put items you will collect first nearest the door. Our guide to stacking a unit so the right item comes out first covers aisles and labelling.
After the Move: Keep, Shrink or Release the Unit
Review the storage a month after moving in. By then you know what the new layout really holds.
Keep it if it holds archives you must retain, spare kit for planned hires or event stock you use each season.
Shrink it once the fit-out leftovers have been delivered or sold. A large unit that now holds three chairs is an easy cost to miss.
Compare it with floor space. Keeping spare items off-site is usually cheaper than renting a bigger office to hold them. Our breakdown of how the full-year cost of off-site space adds up shows how to run that comparison.

Frequently Asked Questions
How far in advance should I plan an office relocation in Dubai?
Start about three months ahead. That covers lease notice, fit-out approvals, building permits and booking movers before the old premises must be handed back.
Do I need to update my trade licence when my office moves?
Yes. Register the new tenancy, then update the licence address with the Department of Economy and Tourism or your free zone authority.
Where can I keep office furniture during a relocation?
A secure, air-conditioned storage unit is the usual choice. It keeps furniture together and protected until the new office is ready to receive it.
How long does an office move take?
A small office can move over one weekend. Larger offices usually move in phases across several weekends, depending on lift slots and fit-out progress.
